Below are the latest release of updates you will now find in CRM. Each update below states who the update is for and a description of the update.
1: Opportunity Hold Emails:
Who: This update is for Ron and Paul.
When you are going to put an Opportunity on hold, you will now get a popup box that you can add the information you need and reason why you are putting the opportunity on hold. When Send is clicked, it will put your message in the notes of the opportunity and send an email to the salesperson with the message you enter.
2: New Pilot Plant Sample Flow:
Who: RD, Ron, Jerry
At meeting on Monday for the users that are involved, we will go over how this will work.
3: Opportunity Close with Open Projects
Who: Sales
When you try to close an opportunity that has open projects, you will get a message that you need to close your projects, or split them into another opportunity first before you can close the opportunity.
4: New Sample on Closed Projects/Opportunity
Who: All
When a project or opportunity is closed as Lost, you won't be allowed to create a new sample until you open the closed projects/opportunity.
When a project or opportunity is closed as Won, you will only be able to resend a sample, not create a new one. New samples will need to be created on a new opportunity.
5: New Projects on Closed Opportunity
Who: All
When an opportunity is closed as Lost, you won't be allowed to create a new project until you reopen the opportunity.
When an opportunity is closed as Won, you will not be able to create a new project. New projects will need to be created on a new opportunity.
6: User Delete Button
Who: All
A new Delete Project and Delete Sample button will be on the project and sample forms. Clicking this delete button will not delete the record forever but will hide it from most views. You will still be able to search for the record and undelete it if you need to bring it back later on.
The Delete Sample button will change the phase to "6.0 Delete". This will remove it from any views you are working in but you can still search for it.
The Delete Project button will change the project to Lost and reason Delete. It will also delete (Phase 6.0) any samples that have not shipped as well.
If you have deleted a sample and need it to be active again, please open a helpdesk ticket.
If you have a deleted project, and need it to be active again, click on the reopen button. This will open the project but not any samples.
***This will be the way we will want users to delete records going forward. You no longer need to contact admins to delete the record, just use the new user delete buttons.
7: Close Project with Samples < 2.4 Phase
Who: All
When you close a project that has open samples that are between phases 2.0 to 2.3, those samples will now get put in Phase "6.0 Delete" so the lab no longer thinks they will need to work on it.
8: New Opportunity Close on Form
Who: Sales
The opportunity form will now have one button you can use to close an opportunity instead of two.
When the button is clicked and you do not have any open projects, you will get the new Opportunity Close window.
Select in the close Type Won or Lost.
If Won, update the Actual Revenue and close date. The actual revenue will load with the Annual Volume - Dollars you had on the opportunity. You will get the following fields:
If Lost, select the status reason, close date, and any other details you want to explain the why it is lost. You will get the following fields:
When done, click the CLOSE button and the opportunity will close.
Right now this updated window is only available if you close the opportunity on the form. If you close the opportunity from the grids, you will continue to close it like you do by selecting the Close Won or Close Lost buttons.
9: New Display of Closed Opportunity
Who: All
The opportunity forms will now display closed information at the top of the form.
Closed as Won Opportunity will show the won details in the top middle of the form.
Closed as Lost Opportunity show the lost reason, date closed and any extra lost details that were given when closed at the top middle of the form.
10: Project Note Button on Sample Forms
Who: All
The sample request forms will now have a Project Note button on the top. This button will allow you to add a note to the project without having to open the project form.
When you click the button, you will be given a window to add your note.
Enter your note and click send. You will be given a confirmation popup that your note was added.
The project will now have the note like below with a title from what sample number the note came from.
11: Gate 1 newer fields on Projects not required on older Projects while at Gate 2
Who: All
These fields are now only required for a new project and if you try to move to Gate 2. They are no longer required if you have an existing project (pre last release) and is at Gate 2. This will help if you just need to update something on the form of an older project or need to close that project. You will no longer need to add fake data just to get the form to save or close the project. You will only be required to complete these fields if you start a new project, are in any gate other than Gate 2, or want to move a project from Gate 2 to Gate 3.
12: Copy Sample new alert windows
Who: All
The copy samples has been updated and will now show a new popup to the users. When on a sample form and you select Resend or Copy & Revise, you will be asked to verify you want to copy what you selected.
After you click ok, the copy will start. It can take a couple seconds to be created but when created, you will wait for the second popup to let you know it will now open the new copied sample.
This new process should help with extra samples being created that a user did not want created. It should also give a better cue that the new sample is now opening. Note, you will now get a total of 2 popups that you will need to click OK on to get to your new sample copy.
